Job Description

The Group Sales Assistant will provide support for the Group Sales Department, and asssist marketing manager on projects as needed. 

  • Typical workday is from 8:30am to 5pm, five days per week, with variable days off dependent on business levels
  • Weekends are required
  • Flexible schedule required in order to accommodate business levels and groups in house

General Paperwork/File Maintenance:

  • Keeping the office clean, well organized, well supplied, current collateral on hand
  • Ordering of office supplies and printing, Order other supplies when needed: mugs, aprons, glasses, etc.
  • Contact Konica for printer/copier issues
  • Lead morning huddle
  • Attend sales, marketing and résumé meetings
  • Filter incoming phone inquiries to the appropriate Sales or Conference Services Manager

Sales

  • Assisting sales managers with contracts & corresponding paperwork, proposals and faxes, including all inserts, kits & promotional materials). Assist with billing – expenses, finding receipts, etc...
  • Coordinate on-line sales presentations. Reach out to sales contacts, schedule presentations, update presentations in PowerPoint and Prezi.
  • Track competitions' reader boards
  • Prepare and mail various sales kits and items for sales managers
  • Print and distribute flyers during sales calls
  • Receive contracts, email/fax them to clients, and prepare them for distribution
  • Updating current and past client files.
  • Sales prospecting calls
  • Be able to tell clients if meeting space is available, based on size and meeting needs.
  • Conduct site tours for agents, reps from other hotels, etc...
  • Gold Club directory.  Update as needed with photos or info.  Update on intranet and also in print (book)
  • Be part of Angel program
  • Coordinate production of SWAG/giveaway items (for Sales, Angels, etc...).

Conference Services

  • Preparing Reports and distribution packets for Resume Meeting and BEO Meeting weekly
    Sending post cons to group and wedding clients.
  • Distribution of Revised BEOs
  • Printing Meeting Room signage, Menus and Buffet labels for catered events
  • Put together and stock Wedding packets
  • Conduct Site tours as needed

Marketing

  • Produce marketing materials including flyers, elevator signs, posters, hand-outs, etc. utilizing In-design, Photoshop and Adobe Illustrator as well as Publisher when necessary.
  • Finish multiple marketing materials by printing, cutting, copying, laminating and distributing
  • Co-create/distribute daily/weekly post to appropriate departments and in-house guests
  • Update Hotel Intranet
  • SMILE card main admin- Input cards-Mail cards and letters- Update SMILE points and make adjustments when necessary

Education/Experience

  • Bachelor's Degree in Hotel or Business Management, or equivalent hospitality experience required
  • Must have a minimum of one year experience in group sales at a hotel of comparable quality
  • Must be knowledgeable of operations in all other areas of the resort, particularly in front office, restaurants, and accounting.

Special Skills/Equipment

  • Ability to work in a fast-paced position with expectations of meeting production deadlines. 
  • Computer proficiency
  • SMS experience desired
  • Sales Force /Delphi and Event Master experience
  • Efficient in the use of Microsoft Office
  • Delphi
  • FDC (Sales Force) be familiar with   client management and scheduling software, maintaining and updating client database, creating   templates, generating word documents.
  • Adobe – Creative cloud – Particularly In Design and Photoshop
  • Microsoft Office (Word, Excel, PowerPoint and Publisher).
  • Dreamweaver update Intranet regularly
  • Springer Miller Systems
  • HotSOS be familiar with how to place a work order
  • Squirrel – SMILE be familiar with entering and editing card member records. Basic reports like address, redemption report, etc...
  • Prezi basic knowledge to update presentations
  • Dropbox basic knowledge to upload, download and share items
  • ReadyTalk be familiar with updating presentation info, coordinating log in and call in info with attendees.
